SiteShot is operated by Site Shot LLC, a limited liability company organized under the laws of Massachusetts. We provide a daily field reporting and operations management platform for heavy civil construction organizations.

In this policy, "SiteShot," "we," "us," and "our" refer to Site Shot LLC. "You" refers to the individual or organization using our Platform.

2.1 Information You Provide Directly

• Account information: Name, email address, password, company name, and job title when you create an account

• Field worker information: Worker names and cell phone numbers submitted by administrators for SMS crew onboarding

• Field reports and content: Daily reports, photos, notes, equipment logs, safety entries, and any other content submitted through the Platform

• Certification and compliance records: License types, expiration dates, and crew certification data you enter

• Billing information: Payment details are collected and processed by Stripe. We do not store full card numbers or bank account details on our servers

• Communications: Emails, support requests, or other messages you send to us

2.2 Information Collected Automatically

• Usage data: Pages visited, features used, timestamps, and session duration

• Device and browser data: IP address, browser type, operating system, and device identifiers

• Location data from photos: When you submit geo-tagged photos through the Platform, location coordinates are captured and stored as part of the report record

• Log data: Server logs, error reports, and performance data

2.3 Information from Third Parties

We may receive limited information from third-party services we integrate with, such as authentication status from Supabase or payment confirmation events from Stripe.

We use the information we collect to:

• Provide, maintain, and improve the SiteShot Platform

• Process your subscription, manage billing, and send payment-related communications

• Send field workers SMS invitations and onboarding messages via Twilio

• Deliver transactional emails including daily report notifications, weekly timesheet digests, and morning safety briefs via Resend

• Enable project managers and administrators to review, approve, and analyze field reports

• Store and organize your job site data, reports, and compliance records within your organization's account

• Respond to support requests and communicate with you about your account

• Monitor for security threats, fraudulent activity, and Terms of Service violations

• Analyze anonymized usage patterns to improve features and platform performance

• Comply with legal obligations

We do not sell your personal data to third parties. We do not use your Content for advertising or share it with other organizations on the Platform.

We share your information only in the following circumstances:

4.1 Within Your Organization

Data submitted by field users is accessible to administrators and project managers within your organization's SiteShot account. You control who has access by managing user roles.

4.2 Service Providers

We work with trusted third-party service providers who process data on our behalf, subject to confidentiality obligations:

• Supabase — database hosting and user authentication

• Twilio — SMS delivery for worker invites and notifications

• Resend — transactional email delivery

• Stripe — subscription billing and payment processing

• Vercel — application hosting and infrastructure

4.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or lawful request from a government authority, or if we believe disclosure is necessary to protect the rights, safety, or property of SiteShot, our users, or the public.

4.4 Business Transfers

If SiteShot is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

4.5 With Your Consent

We may share your information in other circumstances with your explicit consent.

SiteShot is a tool, not a decision-maker. Every action taken as a result of data, reports, calculations, or alerts generated by the Platform is the responsibility of the qualified person who reviews and acts on that information.

SiteShot provides field reporting, scheduling tools, safety brief templates, compliance tracking, and field calculators to support — not replace — the professional judgment of superintendents, project managers, safety officers, and other qualified construction personnel.

The Platform does not:

• Verify the accuracy of information entered by field users

• Guarantee that safety briefs, inspection records, or compliance data are complete or legally sufficient

• Substitute for the professional evaluation of a licensed engineer, safety professional, or regulatory authority

• Automatically ensure regulatory compliance with OSHA, DOT, state, or local requirements

• Make autonomous decisions about job site operations, crew deployment, or equipment use

The organization and the individuals using SiteShot are solely responsible for:

• The accuracy and completeness of all data entered into the Platform

• Reviewing, verifying, and acting on reports, alerts, and recommendations generated by the Platform

• Ensuring that field operations comply with all applicable laws, regulations, and safety standards

• The professional judgment applied to any decision made using information from the Platform

Site Shot LLC is not liable for any injury, loss, regulatory violation, or adverse outcome arising from a user's decision to act — or not act — on information presented in the Platform. The Platform is a productivity and documentation aid. The human running the job is responsible for the job.

We retain your account data and Content for as long as your account is active and for a reasonable period thereafter to allow for account recovery, legal compliance, and dispute resolution.

Following account cancellation or termination, your data will be retained for [30/60/90 days] during which you may request an export. After that period, your data will be deleted from active systems. Anonymized or aggregated data derived from your usage may be retained indefinitely.

Certain information may be retained longer where required by applicable law or to resolve outstanding disputes.

We take reasonable technical and organizational measures to protect your information against unauthorized access, loss, or misuse. These include encrypted data storage, access controls, and secure communication protocols (HTTPS/TLS).

However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security. If you become aware of a security concern related to your SiteShot account, please notify us immediately at hello@siteshot.ai.

Depending on your location, you may have certain rights regarding your personal information, including:

• Access: Request a copy of the personal data we hold about you

• Correction: Request correction of inaccurate or incomplete information

• Deletion: Request deletion of your personal data, subject to legal retention obligations

• Portability: Request an export of your data in a common format

• Opt-out of communications: Unsubscribe from non-essential emails at any time using the link in those messages

Note: Field workers invited via SMS are added to the Platform by their employing organization. If you are a field worker and have questions about your data, please contact your organization's SiteShot administrator in the first instance.

SiteShot uses cookies and similar technologies to maintain session state, enable authentication, and analyze usage patterns. We use functional cookies that are necessary for the Platform to operate, and analytics cookies that help us understand how the Platform is used.

You can configure your browser to refuse cookies, but doing so may affect the functionality of the Platform. We do not use cookies to serve third-party advertising.

SiteShot is not directed at individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. For material changes, we will provide additional notice by email or in-app notification before the changes take effect.

Your continued use of the Platform after the updated policy becomes effective constitutes your acceptance of the changes.
